Speaker Responsibilities
Overview

The following guidelines are intended to help accepted speakers understand the processes and procedures the TM Forum uses. While some of these may seem strict, they have all been developed based on our experiences of producing high quality events around the world for over 15 years. The TM Forum attendees expect the highest quality - we advertise the highest quality. The only way we can maintain the "SLA" we make with our attendees is to exercise fairly tight control over every aspect of our conference program.

Process
 
If your submission is selected, you will be notified via email approximately 1 month after the deadline for submissions closes by our Speaker Manager. The Speaker Manager is your primary contact point and conduit for all speaking related questions and logistical information. One of our Conference Producers will be the main liaison for content-, topic- and agenda-related queries.

Key Milestones & Deadlines

The deadlines we establish for speakers are designed to help us maintain the quality of the event while promoting it accurately. There are 3 main deadlines speakers need to be aware of:

  • Notification: Once notified of your submission's acceptance, please respond promptly with your confirmation of involvement. At this time we request a biography and a high resolution head/shoulder high-resolution photograph for the website and promotional materials. If we do not hear from you after repeated attempts, we will assume you are no longer interested or able to present and we will offer the slot to someone else.
     
  • Draft Slides: Approximately 6-8 weeks prior to the event (although as this can vary on an event-by-event basis please follow the deadlines the Speaker Manager provides), we ask you to submit your slides for review. A dedicated Conference Producer will review the slides. Their intent is not to change the content of your presentation, but rather ensure it is at the right level and focus for the audience. They will also ensure that there aren't too many slides for the time available and that they are not crammed with text and charts which the audience will not be able to see. They also check to make sure there are no sales pitches included. If changes are to be made, the Conference Producer will work hand-in-hand with you to develop a high-calibre presentation comparable to the others at the event.
     
  • Final Slides: In general, final slides are collected roughly 3 weeks prior to the event. This gives us time to ensure we have everyone's presentations and we can load them onto the laptops for each session to reduce logistical operations onsite.
     
  • Last Minute Changes: If you must make last minute changes to your slides, please let our Speaker Manager know ASAP. They will instruct you on how to get us the updated slides. Do not simply show up in the room right before you are supposed to speak with a new set of slides.

Speaker Change/Cancellation

We realise unexpected situations occur that may cause you to have to request a change to your speaker or even cancel your speaking role. If this happens, please notify the Speaker Manager immediately.

In addition, please bear the following in mind:

  • Many submissions involve senior executives and customers. Sometimes, they are unable to honor their commitment to speak. Should this happen, please notify us immediately.
  • While we may ask for your help in finding a replacement, the speaking slot does not belong to you and your company. Please do not automatically assume you can pass the role onto someone else. In most cases, this is usually what happens, but occasionally we may wish to re-assign the slot to another submitter.
  • If this situation arises right at the last minute, we expect you to offer a back-up plan.
  • Should this behaviour occur repeatedly, we might decline to accept future submissions.
  • Do not under ANY circumstances simply fail to show up on site or send someone to tell us you can't make it. These actions will get you and your company suspended from future speaking opportunities for some amount of time and will ruin the experience of many of attendees who have come specifically to meet you and/or attend your session.

We sincerely appreciate your involvement in our conferences and share a common goal: We both want your presentation to be of the highest quality and be well received by the audience. Work with us and we will work with you to achieve this aim.
